The Document Archive Specialist is responsible for making sure that all pertinent bank documents are appropriately archived, filed, and retrievable when access is needed and maintaining the integrity of the vault and its contents.      


Essential Duties and Responsibilities:

  • Accountable for vault access: opening, closing and access to loan files.
  • Responsible for maintaining Vault Logs. 
  • Ensure all collateral and credit file documents are properly scanned to the appropriate Bank in Director and that all files are prepped. 
  • Creates labels for all new loan files once scanned and files them appropriately.
  • Works closely with the Appraisal Department moving appraisals into Director.
  • Works closely with the Special Assets Department in preparing Legal Packets.
  • Retrieve original loan documents at the request of Special Assets. 
  • Assists with the Loan Documents inbox in Director to ensure all loan documents are put in Director in a timely manner. 
  • Files follow up loan documents to the appropriate loan files once scanned.
  • Responsible for making sure all scanners maintain set scheduled maintenance program.
  • Responsible for scanning all Deposit Operations paperwork into Director and ensures they have been input into the system properly.
  • Other Duties as Assigned


Essential Education, Skills and Experience (Required):

  • High School diploma or equivalent
  • Good organizational and time management skills
  • Ability to work with minimal supervision

Nonessential Education, Skills and Experience (Preferred):

  • One (1) year banking experience
  • Ability to recognize basic loan documentation
  • Basic skill level with Microsoft Office Programs including Excel, Word and Outlook
